2. Acceptance of these terms

By making a booking or purchasing a pass, you confirm that you have read and accepted these Booking Terms.

A booking is confirmed when payment has been received and you receive a booking confirmation from us.

3. Booking options 

Day Pass

A Day Pass provides use of one available hot desk for the date selected during the booking process.

Price: £24 including VAT.

Monday-to-Friday Hot Desk Pass

A weekly pass provides use of one hot desk from Monday to Friday during the selected working week.

Price: £90 including VAT.

The pass applies to the full selected working week and cannot be divided between different weeks.

4-Week Hot Desk Pass

A 4-Week Hot Desk Pass provides four consecutive Monday-to-Friday hot-desk weeks.

Price: £210 including VAT.

Customers must select the Monday of the first working week as the start date. The pass is valid for four consecutive working weeks and does not renew automatically.

The pass cannot be paused, divided into individual days or transferred to another person without our prior agreement.

4. Availability

There are a limited number of desks available.

All bookings are subject to availability and are not confirmed until the customer receives a booking confirmation.

Purchasing a pass does not guarantee availability for dates that have not been booked and confirmed.

5. Payment

Full payment is required online when making a booking or purchasing a pass.

 

All prices displayed on the website include VAT.

 

The customer is responsible for checking that the selected date, week and number of desks are correct before completing payment.

6. Day Pass cancellations and changes

Day Pass bookings may be cancelled or moved by contacting us at least 24 hours before the booking begins.

Where sufficient notice is provided, we will offer either:

  • a transfer to another available date; or

  • a refund to the original payment method.

 

Cancellations made less than 24 hours before the booking begins and non-attendance will normally be non-refundable, except where required by law or where we agree otherwise.

 

7. Weekly Pass cancellations and changes

A Monday-to-Friday Hot Desk Pass reserves the selected full working week.

 

Requests to move or cancel the week must be received at least 48 hours before the Monday on which the booking begins.

 

Requests made after this point may not be refundable where we cannot reasonably resell the reserved desk. Any refund or deduction will take account of our actual loss and any costs saved or income received from reselling the desk.

 

Unused individual days within the booked week cannot be moved, credited or refunded.

8. 4-Week Pass cancellations and changes

The 4-Week Hot Desk Pass covers four consecutive Monday-to-Friday working weeks from the selected start date.

 

Once the first week has begun:

  • the pass cannot normally be paused;

  • individual weeks cannot be skipped or moved;

  • unused days cannot be carried forward; and

  • missed attendance does not create an entitlement to a refund.

 

Requests to cancel or change the complete pass before it begins must be made in writing. Any refund will be considered in accordance with applicable law and will take account of services already provided, reasonable losses incurred and our ability to resell the desk.

9. Bank holidays and closures

The normal workspace opening days are Monday to Friday, excluding bank holidays and any closure dates displayed during booking.

 

Where a weekly or 4-week pass includes a bank holiday, the price will remain as displayed unless stated otherwise when booking.

 

We will notify customers as soon as reasonably possible if the workspace must close unexpectedly.

10. Cancellation by us

We may cancel or move a booking where reasonably necessary, including because of:

  • an emergency;

  • building or utility problems;

  • health and safety concerns;

  • events outside our reasonable control; or

  • circumstances that make the workspace unavailable.

 

Where we cancel and cannot provide a suitable alternative, the customer will receive a refund or credit for the affected booking.

 

We will not keep payment for a service that we cancel and do not provide, except where the law permits a reasonable deduction.

11. Opening hours and access

Customers may only use the workspace during the opening hours shown in their booking confirmation.

 

Access instructions will be provided before the booking where necessary.

 

Customers must not:

  • share access codes or keys;

  • allow unbooked visitors into the workspace;

  • remain in the building outside the permitted hours; or

  • access private offices, storage areas or other restricted parts of the building.

12. Use of the workspace

Customers must use the workspace professionally and respectfully.

 

Customers must not:

  • cause excessive noise or disruption;

  • behave in an abusive, threatening or discriminatory manner;

  • use the premises for unlawful activities;

  • view or distribute illegal or seriously offensive material;

  • smoke or vape inside the building;

  • bring hazardous materials onto the premises;

  • damage furniture, equipment or the building; or

  • interfere with other customers’ use of the workspace.

 

Telephone calls and online meetings must be conducted at a reasonable volume.

 

We may require a customer to leave where their conduct is unsafe, unlawful or seriously disruptive. No refund will normally be due where access is ended because of a serious breach of these terms.

13. Internet access

Wi-Fi is provided for normal business use.

 

We do not guarantee that internet access will be uninterrupted or suitable for every specialist system or activity.

 

Customers are responsible for:

  • securing their own devices;

  • maintaining appropriate antivirus and security software;

  • protecting confidential information; and

  • complying with applicable laws when using the connection.

 

Customers must not use the internet connection for unlawful activity, hacking, excessive downloading or conduct that may damage the network.

14. Personal belongings

Customers remain responsible for laptops, telephones, documents and other personal property brought into the workspace.

 

Items must not be left unattended overnight unless agreed with us in advance.

 

Nothing in these terms excludes liability where it cannot legally be excluded, including liability for death or personal injury caused by negligence or customers’ statutory rights relating to services.

15. Damage and additional costs

Customers may be charged for reasonable costs arising from deliberate damage, negligent damage or misuse caused by them or their guests.

 

We will explain the basis of any charge and provide reasonable supporting details.

16. Health, safety and emergencies

Customers must follow displayed health and safety instructions and any reasonable directions given by us.

 

Fire exits and access routes must be kept clear.

 

Customers must report accidents, hazards or damage promptly.

17. Visitors

Only people included in the booking may use a desk.

 

Visitors are permitted only with our prior agreement and must comply with these terms.

 

The person making the booking is responsible for the conduct of anyone attending under their booking.

18. Privacy

We use customers’ personal information to manage bookings, process payments, communicate about attendance and operate the workspace.

19. Complaints

We will acknowledge the complaint and aim to respond within five working days.

20. Changes to these terms

We may update these terms periodically.

The terms applying to a confirmed booking will be those shown and accepted when the booking was made, unless a change is required by law or expressly agreed with the customer.

21. Governing law

These terms are governed by the laws of England and Wales.

 

Nothing in these terms affects a customer’s statutory rights or prevents a consumer from bringing proceedings in a court available to them under applicable consumer law.
